When applying for a DBS check through an Umbrella Body, the total cost usually has two parts.

The first part is the fixed fee charged by the Disclosure and Barring Service. This fee remains the same no matter how many applications are submitted. The cost is £21.50 for a Standard check and £49.50 for an Enhanced DBS check, including those with the Adults’ and/or Children’s Barred Lists.

The second part is the administration fee charged by the Umbrella Body for managing the application. This fee varies depending on the volume of checks being processed. At EasyDBS, administration fees start from £4.00 per application.

The total DBS Check cost is made up of these two elements combined.

There are no fixed rules about who should pay for DBS checks in employment. Each employer decides whether they will cover the cost or ask the employee to pay.

If you’re volunteering in the UK and need a DBS check for an unpaid role, the DBS Check Cost for you can be significantly lower — or even free — compared to paid staff. Volunteers who meet the official DBS definition are exempt from the government fee for both Standard and Enhanced DBS checks.

To qualify as a volunteer under the DBS criteria, you must:

  • Be in an unpaid role, receiving no payment other than approved out-of-pocket expenses.

  • Not be undertaking a placement, internship, or training scheme where you gain a qualification or professional benefit.

  • Not receive any other form of benefit in kind or financial gain from the role.

If you meet these requirements, the DBS Check Cost charged by the Disclosure and Barring Service (DBS) itself is £0 for Standard and Enhanced checks. However, it’s important to note that while the DBS waives its official fee for volunteers, your organisation or the umbrella body processing your application may still charge a small administration fee to cover their time and costs. This admin charge varies depending on the organisation, so it’s a good idea to confirm before applying.

On the other hand, a Basic DBS check — which is a lower-level check — is not free for volunteers. The DBS Check Cost for a Basic check remains the same for everyone, whether you’re a volunteer or paid employee, because the government exemption does not apply to Basic checks.

The base fee of the DBS Check cost is exempt from VAT, so no VAT is applied to that amount.

However, the administration fee charged by umbrella organisations is subject to VAT.

Invoices will clearly separate these two fees and show the VAT applied, making it easy to understand.

The DBS base fee, twenty one pounds fifty for a Standard DBS check and forty nine pounds fifty for an Enhanced DBS check, is set by the Disclosure and Barring Service and cannot be discounted. Even organisations processing hundreds of thousands of checks each year pay the same price.

However, what can be done is to make the process as efficient as possible.
